Digital business cards for company teams: a practical setup guide
Create a consistent company presence while giving staff control over their own verified contact information.
Start with a shared company identity
For a company, digital contact cards work best when every introduction feels connected to the same business. Agree on a company name, logo, website and a simple style before creating staff profiles.
Keep the shared design consistent, but let each card explain the person’s actual role. A sales contact, designer and support specialist should not all have the same generic introduction.
Request a company workspace
Register for a company workspace in BizTapio. Company administrator access requires manual platform approval. Until approval, you can still prepare your personal profile. Staff management and invitations become available after the workspace is approved.
Use accurate company details and an email you control. Approval of a workspace is not proof of legal company registration. Email and domain checks describe the evidence checked; adding a LinkedIn company link alone does not verify ownership of that page.
Choose how to create staff profiles
An approved company owner can create company-managed staff profiles without creating login accounts for each employee. Get the person’s permission before publishing their information or including them in a public team directory.
For staff who need their own sign-in, invite them using the correct email address. They register with email verification and accept the invitation using that exact email. A matching company name typed into a profile does not grant team access.
Keep contact details accurate and individual
Check each person’s name, job title and work email before publication. Public email addresses require individual verification and an explicit choice to show them. Do not put a verification badge on a card as a substitute for those checks.
If staff need their name in another script, use customer-confirmed spellings that preserve the name’s pronunciation. Do not translate the meaning of a person’s name.
Make sharing part of your team’s routine
Ask each person to test their card on a phone: open the link, scan the QR, save the contact and check the social links. Add the profile link to email signatures and use QR sharing during meetings.
Keep an ownership checklist for role changes and departures. Review which profiles should remain public, update outdated details and remove company access when appropriate. Start with digital sharing; physical NFC cards can be considered later.
